Does Your Company Qualify For Tax-Exemption?
If your business qualifies for a tax exemption, a properly completed exemption certificate must be submitted to Carter Machinery’s Tax Department. Our team will review the certificate and contact you if any of the information received is incomplete.
Tax rates are determined by the shipping address of an order. In Virginia, when the sale and delivery occur within state lines, sales tax is based on where the sale originated (situs of sale). Tax on your order will be adjusted based on the certificate if processed prior to the order invoicing. For a credit of tax on an invoiced order, please contact your Account Representative.
State laws require Carter Machinery to have exemption certificates from all customers who claim a tax exemption. If the exemption certificate is not received, Carter Machinery is required by law to charge tax in all US States and the District of Columbia except DE, MT, NH & OR. Sales shipped outside of the United States will be assessed the applicable tax.
Submit Your Tax Exemption Certificate
If you are a current Carter Machinery customer or work with one of our subsidiaries, including Carter Rental – The Cat Rental Store® or SITECH® Chesapeake, you have two options for submitting your certificate.
Option 1: Secure Online Portal (Recommended)
- Login by using your Carter Machinery customer account number
- Complete the user/company profile
- Select the exempt state(s)
- Select the exemption you’re claiming
- Complete or Upload the form required to claim an exemption as identified*
- Review all the information provided for accuracy and select Submit
- Your submission will be routed to our Tax Department.
*Note: Some exemptions require a state issue form to be submitted. If certificate must be uploaded, you will be prompted to select the file and provide the requested information.
Option 2: Email Your Completed Certificate
Please keep in mind the following points if you choose to email your certificate:
- Documents such as IRS letters, W-9’s and state issued permits/licenses are generally not acceptable forms to claim a tax exemption. Provide your state issued number (ex. Tax ID, Exemption Number, etc.) on a valid exemption certificate.
- If submitting a certificate requiring a description of exempt items, the section must be completed, and indicative of products purchased.
- Verify the name on your exemption certificate matches the name on the account.
- Certificates requiring a signature must be physically signed to be valid.
- Certificates must be completed in their entirety.
- Uploaded documents must be in an electronic format (pdf only).
